Planning email addresses for your business
When customers need to deal with a department rather than an individual, we recommend setting up generic email addresses for each department. Because you have assigned email addresses to departments and not to individual staff members, you will have no problems if a staff member leaves the department. Using AutoForwarder options, you have the capability to automatically have the absent staff member's mail sent to another employee or department.
Here are three examples of generic email department addresses.
A sales department email address: sales@acmetoys.com.au
A service area email address: service@acmetoys.com.au
An accounts department email address: accounts@acmetoys.com.au
One-to-one relationships
Because sales staff need to maintain a one-to-one relationships with their customers, you
can issue an email address to each sales person. In a sales scenario the following
addresses would apply.
Sales person Sally Smith's email address: sallys@acmetoys.com.au
Sales person Bob Smoother's email address: bobs@acmetoys.com.au
Hypothetically, if Sally Smith left your company, you could forward any incoming email
addressed to sallys@acmetoys.com.au to Bob
Smoother for his attention at his email address, bobs@acmetoys.com.au

3. If you have a large number of staff, WebCentral recommends you
adopt an email naming convention that is consistent.. A good naming convention is to use
an employee's first name followed by the first letter of their surname. To differentiate
between two similar staff names, add an extra character as demonstrated in the following
example:-
Sally Smith: sallys@acmetoys.com.au
Sally Smoother: sallysm@acmetoys.com.au
